Import from the Medication List into a Note

Listed above the medications section is an “Import Medications” link.

Clicking on the link will open a window that will allow you to select which medication you would like to add to your note.  All of the active medications are selected by default.  When you are done selecting the medication you would like to include, click the done button.


The medications you selected will be formatted and inserted into your note.

New Multiple Incident Warning

Instead of just seeing a warning message that tells you the patient has multiple open incidents, a new window will appear which provides details about each incident and allows you to select which one you would like to work with.

 

More customization options available in Client Settings

We have added many new customization options to the Client Settings page in the System Administration area.  You are now able to customize the items on this page without  the need to reach out to a BackChart representative.

We have added a new setting that has been requested by many users: Page Orientation.  For everyone who wanted their notes to print in portrait mode instead of landscape, simply change the radio button to “Portrait”.

We are currently working on adding documentation regarding all the email customization options.

Linking your BackChart account to your Kareo account

 Linking your Accounts

In order to link your Kareo account to your BackChart® account please provide the following information:

  1. Your Kareo Customer Key
  2. The username and password of an administrative level Kareo user (We suggest adding a new user to your Kareo account)

Finding your Kareo Customer Key

1. Visit the “My Account” section of Kareo’s help site and log in with your Kareo log in credentials: https://help.kareo.com/login

2. Once logged in, click the the link “Get Customer Key”.

Customizing Patient Portal Emails

There are 4 email types:

Password created – The email that is sent to the patient when you first create their account.  It contains the link for the patient to create their password

Password Reset – The email that is sent to the patient when they click the forgot password button.  It contains the link for the patient to create a new password.

New Assigned Item – The email that is sent when the patient is assigned an item to complete

Assigned Item Reminder – This email is sent on the date specified when assigning the item.  It will be sent to the patient up to 4 times until the item is completed.

Available Variables:

  • Company Name
  • Patient Portal Provider Name
  • Patient’s First Name
  • Patient’s Last Name
  • Patient’s Email Address
  • Password Reset Link (Used with create password email and reset password email

Password Security

The Client Settings section of the System Administration allow for customization of the level of password security.  By default, a user’s BackChart password must be at least 6 characters long and does not expire.  In this area, administrators can increase the minimum characters that a password must have, require that the password contain at least one number, and set how frequently a user must change their password. They may also customize the level of password security for their patient’s who access their health information through the Patient Portal.

If the password policy is changed and a user’s password no longer meets the new requirements, they will be asked to set a new password when they log in.

Clinical Summary Quick Generation

Located on each report is a button that automates the process of generating a Clinical Summary.  This button generates a Clinical Summary that includes all active Problems, Medications, and Allergies, as well as, all Lab results.

Meaningful Use Report


The Meaningful Use Report allows you to view your compliance with the various Core and Menu Set objectives.

At the top of the page you will see the report criteria you may use. Select a doctor from the list, a start date, and an end date. (Please Note: Only doctors who are set as an EP will be listed)

After clicking Calculate, that doctor’s Meaningful Use statistics from the period selected will be displayed. All Core Measures are listed under Core and all the Menu Set items the doctor has chosen will be displayed under Menu Set.  To the right of each measure, there are columns for Compliance (the doctor’s “score”), Target (the minimum passing “score”), and a visual indicator of the doctor’s score. The colors indicate the following:

  • Green: Passing
  • Yellow: Passing by a small margin (3%)
  • Red: Failing
  • Grey: Exemption

Clicking on the arrow to the right of each measure will reveal more information about the measure.

On the left of the expanded details, three items are listed:

  1. Medicare Objective:  This is the objective text from each of Medicare’s Meaningful Use documents
  2. BackChart® COS Help: A short description of what to do in BackChart® COS to meet the objective.
  3. More Information: A link to the BackChart® COS support page for that measure

The Numerator and Denominator are also listed in the expanded details.  These numbers provide a count for each measure, are what determines the percentage, and are what is reported to Medicare.

Lastly, there is a button labeled “Patient List”.  Clicking on it will bring up a list of all the patients who are not included in the Numerator but are included in the Denominator.  This makes it really simple to improve your performance in case you miss a Meaningful Use item with a patient.
Every item in the Patient List when clicked on, will open that patient’s chart.  At this point any errors can be fixed.  The list will stay open, allowing you to click through the list and fix all missing items.

Drug Formulary Checks

Objective: Implement drug formulary checks.
Measure: The EP has enabled this functionality and has access to at least one internal or external formulary for the entire EHR reporting period.
Exclusion:Any EP who writes fewer than 100 prescriptions during the EHR reporting period.

Clinical Lab Test Results

Objective: Incorporate clinical lab test results into EHR as structured data.
Measure: More than 40 percent of all clinical lab test results ordered by the EP during the EHR
reporting period whose results are either in a positive/negative or numerical format
are incorporated in certified EHR technology as structured data.
Exclusion: An EP who orders no lab tests whose results are either in a positive/negative or
numeric format during the EHR reporting period.

There are two main steps to meet this requirement:

  1. Placing a lab order
  2. Recording the lab results

Placing a Lab Order

1 – While on the patient’s chart, select the link that says ‘Orders.’2 – After you enter into the next screen, select ‘Order Request’ on the top right.

3 – Select the correct ‘requesting clinic’ ordering the lab.

4 – Select ‘Lab’ under the order type.

5 – Select the ‘Lab Location’ you are placing the order from.

6 – Select the Lab and include any notes about the lab.

7 – Select ‘Save’ and you are finished.

 

Recording The Lab Results

When you get the results back from the lab, you can complete the order by attaching the results to it.

1 – Use the search and filters at the top of the Orders window to find your order

2 – Click on the order to bring up its details window.

3 – Enter the results from the Lab on the right side under Lab Details You can also mark the order as complete by changing the status drop down under Order Details.

NOTE 1:  The most common Lab Chiropractors do is the Urine Analysis

Immunization Registries Data Submission

Objective: Capability to submit electronic data to immunization registries or immunization
information systems and actual submission according to applicable law and practice.

Measure: Performed at least one test of certified EHR technology’s capacity to submit electronic data to immunization registries and follow up submission if the test is successful (unless none of the immunization registries to which the EP submits such information has the capacity to receive the information electronically).

Exclusion: An EP who administers no immunizations during the EHR reporting period or where no immunization registry has the capacity to receive the information electronically.

Syndromic Surveillance Data Submission

Objective: Capability to submit electronic syndromic surveillance data to public health agencies and actual submission according to applicable law and practice.
Measure: Performed at least one test of certified EHR technology’s capacity to provide
electronic syndromic surveillance data to public health agencies and follow-up
submission if the test is successful (unless none of the public health agencies to which
an EP submits such information has the capacity to receive the information
electronically).

Exclusion: An EP who does not collect any reportable syndromic information on their patients during the EHR reporting period or does not submit such information to any public
health agency that has the capacity to receive the information electronically.
